We are looking for an experienced Document Controller to support and maintain the business Quality value.
In this position you will receive, record, distribute and file all corporate, administrative and technical documentation, principally including contractual, financial, technical and asset driven documentation.
This role provides document support to all technical and administration management in a quality control process. As a Document Controller you will be working in a divisional based environment while reporting into the Chief Administration Officer.
Key responsibilities
- Liaise with external contractors, clients and suppliers with corporate records
- Review the existing Document Management System and where necessary develop and implementation of new document management structure within the document management system.
- Document control management including checking, tracking and recording documentation
- Maintaining relevant registers
- Formatting documents to a standard template
- Reporting on documentation status, etc.
- Making sure all Project communication sent through the electronic Project Document Control Management System is directed to the Document Controller, with a copy to Independent reviewer.
- Receive, record, file and distribute all technical documentation and their associated forms of transmission to ensure quality control of all technical documents.
- Organising documents storage during the project life and archiving as required.
- Ensure consistency and compliance with corporate documents and records managements requirements.
- Be responsible for the information’s security, including access, retrieval, editing and distributing requirements.
- Co-ordinate with and support the Business Unit Quality Connector’s and Technical Assistant’s to ensure the documentation is controlled effectively.
- Management of the corporate library record and distribution management
Key Requirements
- Previous experience as a Document Controller or Librarian
- Highly developed written, verbal and interpersonal communication skills
- Demonstrated proficiency in database management and relevant software and ability to multi-task and prioritise
- Exceptional attention to detail and customer service skills
- Positive attitude to work and an ability to manage competing deadlines in a highly productive environment
- Strong working knowledge and experience with HP TRIM Records Management System & SharePoint is essential
- Advanced Microsoft Office skills in Word, Excel and PowerPoint
- Experience in project management and workflows
- Ability to understand the complexities of document management within a diverse company
- Possess "savviness" in technological applications and systems
- Experience in facilitating change management
